Admin Assistant - Puerto Rico, Barceloneta - 12 Month Contract 

Be part of a next-generation pharmaceutical project that’s transforming how medicines are made.

We’re supporting a major new-build facility in Puerto Rico, a multi-billion-dollar investment designed to push the boundaries of science and engineering. We’re looking for an Admin Assistant to join the team and help deliver this world-class program.

Responsibilities:

  • Provide high-level administrative and project coordination support to the Construction and Program Management team.
  • Manage meeting scheduling, prepare agendas, take detailed minutes, and follow up on action items.
  • Track documentation, deliverables, and communications across multiple workstreams.
  • Support onboarding activities for new team members and contractors.
  • Liaise with internal stakeholders and contractors to ensure information flow and task follow-through.
  • Train and onboard new administrative team members or project coordinators, ensuring continuity of support as the project scales.
  • Support the creation of process documentation and training materials for team procedures and tools
Skills and Experience:
  • Requires extensive experience in a similar administrative or coordination role.
  • Prior experience working on construction or engineering projects (required).
  • Strong organizational skills with the ability to manage multiple priorities and stakeholders.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); Teams and SharePoint experience is a plus.
  • Self-starter with a proactive, can-do attitude and strong attention to detail.
  • Ability to work on-site
  • Experience onboarding/training others or creating process documentation is a strong plus.

What you'll need: B.Sc/B.Eng. degree in engineering discipline, with particular emphasis mechanical or process engineering.Extensive experience from biotechnology or pharmaceutical GMP manufacturing/CQV environment.Demonstrated ability to work on own initiative and proactively respond to business needs.Excellent interpersonal and communication skills.Familiar with Delta-V & Navis Works an advantage.
