This is a fantastic opportunity for a Administrative Assistant to join our major, global pharmaceutical client on their latest new-build project based in Ohio, this is a large-scale greenfield capital project and investing more than $1bn.
Responsibilities:
- Recurring Onboarding Tasks:
- Communicating with staffing agencies/suppliers about new contract personnel
- Escorting non-company personnel
- Scheduling site-specific orientations
- Providing site information (Directions, maps, contact info)
- Providing IT information/Support (Submitting Service Now requests)
- Badging/Security
- Laptop orders/Software requests
- Developing and maintaining an org chart
- Developing and maintaining a project directory
- Reserving seats/desks for new personnel
- Taking meeting minutes
- Scheduling meetings/conferences
- Reserving conference rooms
- Ordering catering
- Organising travel arrangements
- Expense reports
- Ordering office supplies
- High school diploma or equivalent; an associate’s or bachelor’s degree in business administration or a related field is preferred.
- Requires extensive of administrative experience, preferably in the construction or engineering industry.
- Experience with project management software and electronic document management systems (EDMS) is a plus.
- Strong organisational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Attention to detail and ability to maintain confidentiality.
- Ability to work independently and as part of a team.
