Administrative Assistant - Chicago, United States - 12 Months Contract

We are recruiting on behalf of a leading global pharmaceutical client based in the surroundings of Illinois. Due to a large capital investment and multiple projects on site, the client is looking for a Administrative Assistant to join their team.

Responsibilities include:
  • Communicating with staffing agencies/suppliers about new contract personnel
  • Escorting non-company personnel
  • Scheduling site-specific orientations
  • Providing site information (Directions, maps, contact info)
  • Providing IT information/Support (Submitting Service Now requests)
  • Badging/Security
  • Laptop orders/Software requests
  • Developing and maintaining an org chart
  • Developing and maintaining a project directory
  • Reserving seats/desks for new personnel
  • Taking meeting minutes
  • Scheduling meetings/conferences
  • Reserving conference rooms
  • Ordering catering
  • Organizing travel arrangements
  • Expense reports
  • Ordering office supplies
Key requirements include:
  • Extensive administrative experience, preferably in the construction or engineering industry.
  • Experience with project management software and electronic document management systems (EDMS) is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Attention to detail and ability to maintain confidentiality.
  • Ability to work independently and as part of a team
